Appointments and Deposit Policy

- A deposit is required to confirm your appointment. The deposit amount will be communicated at the time of booking.
- Refunds and Cancellation
- Deposits are fully refundable if cancellations are made at least 72 hours before the appointment schedule.
- Deposits will not be refunded for cancellations made within 72 hours of your scheduled appointment. This policy accounts for the preparation and resources reserved for your treatment.
- Rescheduling
- You can reschedule your appointment without penalty if done at least 72 hours in advance. Rescheduling within 72 hours results in forfeited deposits.
- Missed Appointments
- Failure to attend an appointment without prior notice may incur additional charges and affect your ability to rebook.
Payment Terms
- Invoice Settlement
- All invoices must be paid within 14 days of issue unless an alternative arrangement is agreed upon beforehand.
- Payment Methods
- All payments are processed securely through Stripe, ensuring a safe and reliable transaction process. You will receive detailed instructions for making payments at the time of booking or invoice issuance.
- Late Payments
- Delays in payment may result in additional charges or recovery actions.
Medico-Legal Photographic Records
- Photographs During Treatment
- To comply with medical and legal requirements, we will take before and after photographs of your treatment. These photographs form part of your treatment record.
- Confidential Storage
- Your photographs are securely stored for a period of 7 years in compliance with insurance and professional standards.
- Use of Images
- These images will never be used for marketing, training, or other purposes without your explicit written consent.
Data Protection and GDPR Compliance

- Hair GP collects and processes personal and health-related data in line with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018. This includes information gathered during booking, treatment consultations, and photographic documentation.
